Best fleet management software in 2026: an honest comparison

Samsara, Motive, Geotab, Fleetio, Verizon Connect, and ViaLoop — what each platform is actually built for, what it costs, and a framework for choosing instead of a feature checklist.

Most “best fleet management software” roundups rank the same five or six platforms against the same feature checklist — GPS tracking, ELD compliance, driver scoring, maintenance alerts. Every serious platform checks every box. What the checklists don't tell you is the part that actually determines whether you'll be happy eighteen months in: contract length, what happens when something breaks, and whether the platform was built for your kind of fleet or a different one.

We're a fleet platform ourselves, so take this with the grain of salt that implies — but we've tried to write the comparison we'd actually want to read: real pricing ranges, real contract terms, and honest calls on where each platform is and isn't the right fit. That includes us.

What actually separates these platforms

  • Contract length. Several major platforms require multi-year minimum contracts. If you're not certain a platform is right for your fleet, a long lock-in is a bigger risk than a slightly higher monthly price.
  • Pricing transparency. Most enterprise fleet platforms hide pricing behind a sales call. That's not automatically a red flag — some genuinely need a quote based on fleet size — but it does mean you can't compare true cost until you're already in a sales process.
  • What the platform was actually built for. A platform built for long-haul US trucking and ELD compliance solves a different problem than one built for mixed passenger and light-commercial fleets. The “best” platform depends entirely on which problem you have.
  • Geographic reach, if you operate internationally. Several of the platforms below are strongest in North America specifically. If you run fleets across multiple continents, ask directly which countries the platform has live deployments in today.
  • Uptime transparency. A promised SLA percentage in a sales deck is not the same as a public status page with a real incident history — see why this is the most underrated feature in the category.

The comparison

Samsara

Samsara is the platform most reviewers land on as the strongest all-in-one choice for mixed fleets — GPS tracking, AI dash cams, and compliance reporting combined in a single, genuinely well-designed interface. Samsara doesn't publish pricing — you have to talk to sales — but third-party buyer reports commonly place it in the $27–60 per vehicle per month range depending on tier and hardware.

Where it can fall short: Samsara commonly requires a multi-year minimum contract, which is a meaningful commitment for a fleet that hasn't used a platform like this before. It's also priced and positioned toward mid-size and larger fleets rather than a five-vehicle operation testing the waters.

Motive

Motive (formerly KeepTruckin) has the most mature ELD compliance tooling in the industry — Hours of Service tracking, DVIR forms, IFTA reporting, and automatic violation alerts — built specifically for US trucking. AI dashcams with a privacy mode add safety monitoring on top. Motive also doesn't list public pricing, but third-party buyer reports put it roughly in the $25–50 per vehicle per month range across tiers, plus hardware costs, typically on a 12-month-to-multi-year contract.

Where it can fall short: Motive's entire product is shaped around US trucking compliance. If ELD/HOS isn't your regulatory reality — international fleets, non-trucking commercial vehicles — you're paying for depth in a problem you don't have.

Geotab

Geotab's strength is data flexibility and integration depth — it works well across almost any fleet size and plugs into a large ecosystem of third-party add-ins for reporting, safety, and compliance. Like Samsara and Motive, Geotab is quote-only — its own site has no public price list — but third-party estimates generally put it in the $20–35 per vehicle per month range, among the more moderate of the enterprise-tier platforms.

Where it can fall short: the platform's flexibility is also its complexity — Geotab often benefits from a dedicated fleet ops or IT resource to configure the add-in ecosystem well, which is overhead a smaller fleet may not want to carry.

Fleetio

Fleetio specialises in maintenance — automated service reminders, work order tracking, and inspection workflows — rather than trying to be the broadest possible platform. It's also one of the few enterprise-grade fleet platforms with genuinely public, transparent pricing — verified directly on their site: $4/vehicle/month (Essential, billed annually), $7 (Professional), and $10 (Premium), with generally shorter contract terms than Samsara or Verizon Connect.

Where it can fall short: Fleetio is a maintenance-management platform first. If your priority is live GPS tracking, driver behaviour scoring, or AI dashcams, you'll likely need to pair it with another tool rather than treat it as a full replacement.

Verizon Connect

Verizon Connect Reveal offers a genuinely broad feature set — tracking, routing, compliance, and integrations — backed by 24/7 support and fast data refresh rates, riding on Verizon's network infrastructure. Verizon Connect doesn't publish pricing either — you request a demo to get a quote — but third-party buyer reports place the starting point around $250 per month at the low end before per-vehicle scaling.

Where it can fall short: like Samsara, Verizon Connect leans toward larger fleets and longer commitments, and the pricing floor makes it a harder starting point for a small or early-stage fleet operation testing what they actually need.

Where ViaLoop fits

Where we're not the right fit: if you're a large US trucking fleet whose primary need is deep ELD/HOS compliance tooling, Motive's specialisation is hard to beat. And if you have the budget and scale for Samsara or Geotab's full enterprise integration ecosystem, that depth is a legitimate reason to choose them over a leaner platform.

The honest version of “best”: Motive for US trucking compliance depth. Fleetio if maintenance is your actual pain point. Samsara or Geotab if you have enterprise scale and want the broadest integration ecosystem. ViaLoop if you want a full-capability platform without the enterprise price floor or the multi-year contract — especially if your fleet operates outside North America, or across more than one country.

A decision framework, not a scorecard

  1. What's your actual regulatory reality? US trucking ELD/HOS compliance is a different problem than AIS-140 in India or RTA reporting in the UAE. Match the platform's compliance depth to the regulation you actually answer to.
  2. How much are you willing to lock in before you know it's working? A three-year contract on an unproven fit is a real risk. If you're not certain, weight shorter-term or lower-commitment options higher even at a small price premium.
  3. Do you have the internal resourcing to configure a highly flexible platform, or do you want something that works well out of the box? Geotab rewards a dedicated fleet ops resource; a leaner platform doesn't require one.
  4. Does your fleet operate in one country or several? A platform's home market usually predicts where it's deepest. Ask for a live country list, not a roadmap.
